The following is an overview of the basic tables and files relevant for the A/P Direct Order Billing routine. The standard setup records which are pre-loaded at installation are also enumerated.

Document types |
The DBD (A/P Direct bill debit note) document type is preloaded in the system to be able to create debit notes on the fly to charge back any variances/discrepancies with pricing or fees to the supplier. The document number series in this file is also proposed (i.e. the same name as the DBD document type). The actual values for the document number series must be set up in the Document number series table. See Work with document number series below.
For accounting purposes, normally the accounting (in DC1 Financials) is done according to the Document type table definition, however for DBD accounting it is done according to DC1 Distribution, meaning a dedicated transaction type determines the accounting. For a DBD document, it is the transaction type 813 (price difference invoices) which is used to create the “contra-booking”.

A/P control file |
The following two fields control the handling of A/P debit generation (i.e. charging back any discrepancy/variance with the purchase price and/or fees to the supplier). Note: These “tolerance level” fields are blank by default, which means that any discrepancy/variance between the purchase order price and the invoice, or the fees charged from the supplier will always be debited back to the supplier. If you do not want to charge back anything to the supplier, regardless of any discrepancies/variances, enter the Min % of invoice with 100.
- Min % of invoice
- Specify the minimum threshold as a percent of the net settlements (total PO) in A/P direct order entry. The lesser of this and Min amount (if entered) will be used to determine the minimum threshold for creating A/P debits. If entered, the percentage must be between 1 and 100.
To disable A/P debit note generation enter 100. This means that you will bear any discrepancies and not charge anything back to the supplier.
- Min amount
- Specify the minimum threshold as a flat amount in A/P direct order entry. The lesser of this and Min % of invoice (if entered) will be used to determine the minimum threshold for creating A/P debits.

For all fee types that you intend to set up with Fee action type set to 1 (Create/attach to PO & SO line) or 2 (Create/attach to PO line only) or 4 (Add line to SO only), a purchase/sales order line will automatically be created for the fictitious item and A/P invoice supplier combination when the A/P clerk books a fee on the A/P invoice direct order, Fees and discounts panel during A/P invoice/credit note entry. In order for the system to be able to automatically create the item/supplier information for the purchase order line for the fictitious item to which the fee belongs, an item maintenance template must be connected to the fee type (See A/P direct order fee types below).
Note: Each time the fictitious item is used, the system checks if the concerned supplier is defined for the item in the item’s supplier information panel and if not then it is automatically added.
Create a unique template to be used for your fictitious items that will book fees, or use an existing. The template you add, or the existing template you use must be an active maintenance template (i.e. the Maint/enquiry templ field must be set to YES on the Work with item templates panel).

Fictitious items must be set up for each additional shipping and handling fee that may be charged from your supplier (i.e. could not be predicted or calculated during purchase order entry). For example, DBFreight for Freight fee, DBAdmin for Administration fee, DBMisc for Miscellaneous charges, etc. When an A/P clerk adds any additional shipping and handling fees specified on a supplier invoice on the A/P invoice direct order, Fees and discounts panel during A/P invoice/credit note entry, a purchase and/or sales order line is created for the fictitious item. One of the key features from an accounting and costing perspective is that the cost of these fees, regardless if you charge it to the customer or not, affects the overall margin of the sales order. When you look at profitability by customer or order type (i.e. drop ships) you might find that your cost of goods is higher because of freight or administration charges than it would be if you were shipping it direct.
When setting up your fictitious items, the following must be adhered to:
- Be sure the fictitious item does NOT require landed cost (i.e. the Landed costs req field for the terms of delivery code that is connected to the supplier in the business partner file is set to NO).
- Be sure the fictitious item type connected to the item does NOT retrieve a standard cost. The Fict zero cost allwd field is to YES and the Fict std cost retr field is set to NO.
- Be sure the warehouse used for the fictitious item on the purchase order includes the BtB setup for direct orders. On the Item file maintenance, Warehouses panel, make sure the Order type direct field is completed.
The fictitious items you set up must then be attached to the A/P direct order fee type (see A/P direct order fee types below).

- Order type direct
- Connect the default purchase order type to be used for the fictitious item on BtB orders with direct delivery.
Make sure the main warehouse for the supplier is active (this is not done for the template but for the actual fictitious item).

A/P direct order fee types |
The A/P invoice direct order fee type table provides definitions and defaults for the fee which will be attached to the A/P invoice fee template file. It drives fee handling in A/P invoice/credit note entry (i.e. on the A/P invoice direct order, Fees and discounts panel). Fictitious items are attached as fees here if fee action type is 1, 2 or 4.
Add the applicable fee types, and complete the following fields:
- Fee type
- Enter the name of the fee type.
- Description
- Enter the description of the fee type.
- Fee action type
- Indicate how the fee type will function in A/P direct order entry.

- SO allocation meth
- You may denote what the allocation method is on both sides, i.e. Sales order side in this field and Purchase order side (in the PO allocation meth field described below). On the Sales order side, it is used for updating the cost of goods amount for the matched direct SO lines. The system will allocate across the entire order. Hence, if you have one fee that is for the whole order (shipment), it will allocate that fee across the sales order line based on the GV, GW, NV, NW, QT, or VA total amount per line. (If you have a freight fee, you would likely use GW as the allocation method).

- PO allocation meth
- You may denote what the allocation method is on both sides, i.e. Sales order side ((in the SO allocation meth field described above) and the Purchase order side in this field. On the Purchase order side, it is used for allocating supplier discounts and mark-ups to the PO line net settlement amounts. This is a situation where if you have a total amount of the discount as a fee, the system will update the net price on each purchase order line based on how you allocate the fee.

- A/P discount base
- In this field you denote, for the A/P invoice you will enter, if these fees are to be included in the basis for the discount (enter the panel value for Include), or excluded in the basis for the discount (enter the panel value for Exclude).
Example: You offer a 2% cash discount and the cash discount is granted on net invoice amount. An invoice total net amount is 1500 SEK, and 50 SEK of that amount is freight. If you choose to include freight fee in the discount base, the 2% cash discount will be based on 1500 SEK. If you choose to exclude the freight fee in the discount base, the 2% cash discount will be based on 1450 SEK instead of 1500 SEK, i.e. the freight fee amount will be excluded from the discount base amount.
- A/R discount base
- In this field you denote, for the A/R invoice that will be a result of invoicing your customer, if these fees are to be included in the basis for the discount (enter the panel value for Include), or excluded in the basis for the discount (enter the panel value for Exclude).
Example: You offer a 2% cash discount and the cash discount is granted on net invoice amount. An invoice total net amount is 2000 SEK, and 50 SEK of that amount is freight. If you choose to include freight fee in the discount base, the 2% cash discount will be based on 2000 SEK. If you choose to exclude the freight fee in the discount base, the 2% cash discount will be based on 1950 SEK instead of 2000 SEK, i.e. the freight fee amount will be excluded from the discount base amount.
- Fictitious item
- This field is only applicable if you set the Fee action type to 1 (Create/attach to PO & SO line) or 2 (Create/attach to PO line only) or 4 (Add line to SO only). You must attach the fictitious item used for this fee type. If at A/P invoice entry an amount is entered for this type of fee, then a PO and/or SO order line is created for the item indicated here.
- Item maint template
- This field is only applicable if you set the Fee action type to 1 (Create/attach to PO & SO line) or 2 (Create/attach to PO line only). It is used for the automatic creation of the item/supplier information while creating a purchase order line for the specified fictitious item if no item/supplier information exists in the Item file for the Fictitious item and A/P invoice supplier combination. Attach the item maintenance template.
- Left heading text
- This field denotes the text for the fee that is in the fee entry screen. Enter the fee text.

A/P direct order fee templates |
Fee templates are the placeholders for the fees. You can create fee templates that hold fees for specific suppliers, thereby customizing the fees per applicable supplier, and/or a generic system template that holds fees for many/all suppliers. The templates for specific suppliers are linked to the supplier in the A/P basic data panel in the Business partner file (see below).
Add the fee templates, and assign a code and description. Then connect the Fee type to each template, i.e. select the Fee types option, then the Add option. On the Fee types panel, complete the following fields:
- Fee type
- Connect the fee type from the A/P direct order fee types file.
- Sequence
- Enter the sequence number denoting the order in which the fee type will be displayed on the A/P invoice direct order, Fees and discounts panel.
The remaining fields are retrieved from the A/P direct order fee types file for the fee type that is connected.

Work with business partners (A/P basic data panel) |
If you want to connect a specific fee template to a specific supplier, thereby customizing the fees for the supplier, navigate to the A/P basic data panel and attach the Fee template in the Order fee template field for the supplier. All fees connected to that template will be displayed on the A/P invoice direct order, Fees and discounts panel during A/P invoice/credit note entry. If you leave the Order fee template field blank, fees attached to the generic system template will be applicable and displayed for the supplier of the direct purchase order on the A/P invoice direct order, Fees and discounts panel during A/P invoice/credit note entry. |

Work with notes |
A DB note (direct bill) for Business partners of type 1 or 3 can be registered in Work with notes. The defined note is displayed upon A/P direct invoice registration. Business partner, if defined, for the entered DB note must be of type 1 or 3. |
Enter financial transactions |
To make the Order number field visible during the registration of A/P invoices, thereby allowing the entry of the BtB direct purchase order number, you must set the Order number attribute to YES for the A/P invoices User template. Click the User templates function key and then the A/P inv function key. Select the applicable template and click OK twice to access the A/P invoice attributes and defaults, Attributes panel. Set the Order number field to YES. |
