Below are instructions on how you maintain a payment in the batch you are currently working with. See About starting/closing manual transaction entry for a description on how to open a temporarily interrupted batch and further information about batches. After you close the batch, and the system has created the journal, you can only maintain certain details for a transaction. See About working with A/P transactions.
Prerequisites
You need to know the voucher type and voucher number of the transaction you are maintaining. Use the G/L transaction details enquiry to search through the batch, or click Transaction overview, or Voucher overview on the Financial system transaction entry panel to find the voucher or transaction you want to maintain.
Once you are in the applicable batch, do as follows:
- On the Financial system transaction entry panel, you can click Change voucher type if you need to change the voucher type. If not, select the A/P payments routine and click OK. Note: If you change voucher type, you may need to change also the voucher date, but the system will give a message with the correct date for the voucher type/number.
- You access the A/P payment entry overview panel with a listing of all transactions with the selected journal and voucher parameters. You can position and re-sequence the listing by using the selection fields on the bottom part of the panel. Select the transaction you want to maintain.
- You access A/P payment entry with all details for the selected transaction. To delete the entire transaction and all related ones (for example G/L postings, liquid entry information and settlements), click Delete twice. To change details, enter new information in the relevant fields and click OK. The system will validate all changes according to the validation rules for new entries.
- Address panel for sundry suppliers
- To delete the entire transaction and all related ones, click Delete twice.
- To change details, enter new information in the relevant fields and click OK. The system will validate all changes according to the validation rules for new entries.
- Pseudo panel
- To delete the entire transaction and all related ones, click Delete twice.
- To change details, enter new information in the relevant fields and click OK. The system will validate all changes according to the validation rules for new entries. The system will also re-create the automatic postings based on the changed entries.
- G/L postings panel
- To delete the entire invoice and all related transactions, click Delete twice. To delete a posting, mark it and click OK to transfer it to the entry part of the panel. Click Delete twice.
- To change details for a posting, mark it and click OK to transfer it to the entry part of the panel. Enter new information in the relevant fields and click OK. The system will validate all changes according to the validation rules for new entries.
- Settlement panel
- To delete the entire settlement, click Delete twice.
- Settlement difference panel
- To delete a difference document, erase the amount. The related G/L postings will be deleted automatically.
The document type and the values you enter will control which panels you will access:
Note: Postings that the system has created, such as control account postings, cannot be deleted from this panel.
Note: For postings that the system has created, such as control account postings, you can only change certain fields, such as Text.
Note: Only the settlement, not the items in the settlement, will be deleted.
Exit the routine.
