Maintain an entered A/R invoice

As long as you have not closed a batch, you can maintain all transactions. You can also open a temporarily interrupted batch that somebody else has worked with. Only one person at a time, however, may work with one batch. See About starting/closing manual transaction entry for a description on how to open a temporarily interrupted batch.

After you close the batch, and the system has created the journal, you can only maintain certain details for a transaction. See About working with A/R transactions for more information.

Prerequisites
You need to know the voucher type and voucher number of the transaction you are maintaining. Use the G/L transaction details enquiry to search through the batch.

  1. Select the Enter financial transactions menu item.
  2. On Financial system transaction entry, click Change voucher type if you need to change the voucher type. Note: If you change voucher type, you may need to change also the voucher date, but the system will give a message with the correct date for the voucher type/number. If not, then click Voucher overview to search for the voucher you want to maintain. Select the applicable voucher number.
  3. The system retrieves the selected voucher number to the header panel. Select the applicable routine and click OK.
  4. You access A/R invoice/credit note entry with a listing of all transactions with the selected journal and voucher parameters. Select the transaction you want to maintain, and click Change.
  5. You access A/R invoice/credit note entry with all details for the selected transaction. You can change details or delete the entire transaction and all related ones (e.g. instalments, G/L postings and EU statistics). The document type and the values you enter will control which panels you will access:
    • Address panel for sundry customers
      • To delete the entire transaction and all related ones, click Delete twice.
      • To change details, enter new information in the relevant fields and click OK. The system will validate all changes according to the validation rules for new entries.
    • VAT/pseudo panel
      • To delete the entire transaction and all related ones, click Delete twice.
      • To change details, enter new information in the relevant fields and click OK. The system will validate all changes according to the validation rules for new entries. The system will also re-create the automatic postings based on the changed entries.
    • G/L postings panel
      • To delete the entire invoice and all related transactions, select function Delete document from the Function list. To delete a posting, mark it and click OK to transfer it to the entry part of the panel. Click Delete twice.
      • Note: Postings that the system has created, such as control account postings, cannot be deleted from this panel.

      • To change details for a posting, mark it and click OK to transfer it to the entry part of the panel. Enter new information in the relevant fields and click OK. The system will validate all changes according to the validation rules for new entries.
      • Note: For postings that the system has created, such as control account postings, you can only change certain fields, such as Text.

    • EU statistics entry panels
      • To delete the entire transaction and all related ones, click Delete twice on the overview panel. To delete a statistics entry, mark it and click OK to access the details panel where you click Delete twice.
      • To change details for a statistics entry, mark it and click OK to access the details panel. Enter new information in the relevant fields and click OK. The system will validate all changes according to the validation rules for new entries.
    • Instalment maintenance panels
      • To delete the entire transaction and all related ones, click Delete twice on the overview panel. To delete an instalment, mark it and click OK to access the details panel where you click Delete twice.
      • To change the terms of payment for the entire invoice, click Change terms of payment from the overview panel to access a panel where you enter the new terms of payment code. To change the details for an instalment, mark it and click OK to access the details panel. Enter new information in the relevant fields and click OK.
