A payment proposal can contain payments which require acceptance from the debtor during update. Two steps are involved with these payments:
- At payment proposal update a document to send to the debtor will be created. The balance for the customer will not be affected. No G/L postings are created at this stage.
- At manual payment acceptance a payment will be created in the Accounts Receivable and the balance for the debtor is updated. The invoice will be fully or partially settled depending on the payment amount. Corresponding G/L postings are created.

Prerequisites
The proposal must contain payment modes which have Info to debtor set to YES and Automatic payment set to NO.
- Select the Work with A/R payment proposal menu item.
- On the Overview panel, select the proposal you want to maintain.
- You access A/R payment proposal, Select activity, tick Update proposal and click OK.
- You access A/R payment proposal, Update. Enter the print parameters for the documents to send to the debtor. The invoices will remain in the proposal where they can be maintained or deleted, until they have been accepted.
- Select the Accept A/R payment menu item.
- You access A/R payment proposal with all the documents that are waiting for acceptance. The following field is relevant:
- S
- Indicates if the document has been accepted for payment.
- You access A/R payment proposal – accept with detail information about the payment. You can change the following fields:
- Document type
- Enter the document type for the payment. This field will override the document type you will enter for the A/R payment proposal on the next panel.
- Due date
- Enter the due date for the document.
- You access A/R payment proposal – accept. Note: This panel is only displayed if this is the first document you accept at this time. The information entered on this panel is, therefore, valid for the rest of the documents you intend to accept for this update. However, this panel will be displayed once again for you to change the information when you leave this program before ordering the update. Enter the following information:
- Accounting period
- Enter the period for the payment transactions. The system defaults actual period.
- Voucher type
- Enter the voucher type for the payment transactions.
- Voucher date
- Enter the voucher date for the payment transactions.
- Default payment doc
- Enter a default payment document type. This document type will be used for all the documents that do not have a connected document type defined.
- You re-access A/R payment proposal with all the documents that are waiting for acceptance, ready for you to accept a new document, if applicable. Exit the program and start the update.
- The system re-displays A/R payment proposal – accept with the information you entered in step 8 above. You may now change the information, if applicable. Click OK to start the update. The system informs you when the update is completed. The accepted documents will be removed from the proposal at update. The proposal remains in the system until all the documents have been accepted. Exit the routine.
When you have received acceptance from the debtor, do as follows:
Tip: You can use the fields at the bottom of the panel for positioning. Select the document you have received acceptance for.
Click OK. Tip: To display the A/R open items, click Detailed information. On this panel you can maintain the documents included in the payment. By doing so, the amount of the payment can be changed which can be the case if the debtor does not accept the complete amount of the draft.
Click OK.
