The following describes how to report the time that an engineer spent working on an existing service order job. Based on the service item that is selected, the system will calculate normal time and overtime depending on the time rule matrix (see About time rules for service planning). The calculated normal time and overtime will later be copied over to the service order as a basis for charging the customer in the service order close routine. Also, the generated time transactions will be the basis for Time follow up enquiry.
Time transactions are usually entered after the service engineer comes back from a job. This means that the service order probably exists in the system.
- Select the Work with time transactions menu item.
- On the initial panel, select the applicable engineer and click Select.
- You access the Work with time transactions, Time transactions panel where you can view the time transactions, which have been entered for the engineer.
- You access the detail panel. Complete the following fields:
- Date
- Enter the date when the job was performed.
- Service order
- Enter the service order number.
- Job
- Enter the job number.
- Service item
- Enter a code from the Item file. The service item must be of type service item, and must state in the Service item group table that the item is allowed in Time registration.
- Note: The Start and Stop fields are mandatory if the service item group states that hours are YES.
- Finished
- Set this field to YES.
- Note: After you have finished a time transaction all other time transactions for the same order job are automatically finished. Once a time transaction is finished no changes are allowed to it; however, if changes have to be made to a time transaction it can be reopened by clicking the Reopen line option on the Work with time transactions, Time transactions panel.
- Note: After the time transaction is closed in the service order job close routine, no new time transactions are allowed for the service order job.
Note: Time transactions are copied over to the service order at the close of the service order. If several engineers exist, time transactions are updated per service engineer to the service order lines.
Click Add.
Finish transactions
You need not finish the time transactions now, but if you do, and you want to make it ready for service order close, the following field is mandatory:
Click OK and exit the routine.
